1.  Who we are
1.1  This Privacy Notice explains how personal data is handled in connection with DJED / DJED Software and https://djedsoftware.com.
1.2  Where this Notice refers to company-side processing of personal data, the company responsible is KTECHNOLOGY SOLUTIONS LIMITED, company number 16625813, registered office 71–75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ.
1.3  Exact UK GDPR roles (controller / processor / joint controller) for each processing activity should be solicitor-validated. Do not assume the Company is controller of every local endpoint dataset created by a technician about their own clients.
1.4  Accepting the EULA is not blanket consent to all personal-data processing. Where consent is the lawful basis, it will be obtained for that purpose specifically.
2.  Local-first design
2.1  DJED is designed to work on the Device. By default, a fresh install / first run makes no product network connection.
2.2  Local categories that ordinarily remain on the Device include (without limitation): session logs; quarantine store; Value Ledger / Evidence Ledger; licence state files; fleet inventory JSON; handover bundles; Client Reporter PDFs until you share them; paths and host identifiers collected for diagnostics.
2.3  Local storage on your Device is not the same as collection by the Company. The Company does not automatically receive local ledgers, quarantine contents, or browser secrets.
3.  What we do collect or receive (company-side / transmitted)
3.1  Optional update check (product): If you enable automatic update check or manually check for updates, the Software may contact https://djedsoftware.com/updates/latest.json (and related signed artefact URLs). That path is intended to carry information needed for update compatibility (such as app version and platform) and ordinary network metadata. It is not intended to transmit session logs, quarantine contents, or browser password secrets. Preference is OFF by default (fail closed). Download/install still requires confirmation.
3.2  Purchase / billing: If you purchase via our checkout (currently Square-hosted), the payment provider processes payment details under its own terms and privacy notice. The Company receives purchase/fulfilment information needed to issue and administer licences (for example identity/contact details you provide, plan selected, payment status, and related transaction references).
3.3  Licence administration and support: If you contact support (including support@djedsoftware.com) or request refunds, transfers or key re-issue, we process the personal data you provide to handle that request.
3.4  Website: Website processing (hosting logs, any cookies or analytics) will be described only as verified for the live site. This Notice does not invent cookie banners, analytics vendors, or retention periods that have not been verified. If the site later uses cookies or analytics, this Notice must be updated before those claims are made.
3.5  Not present (product): The audited product does not include general product analytics / crash SaaS phone-home as of the EULA V3 audit.
4.  Client reports and technician responsibility
4.1  Client Reporter and similar exports may contain personal data you enter (engineer name, client name, contact) and Device inventory (hostname, serial, paths, findings).
4.2  If you are a Business User creating reports about your clients, you or your organisation may be an independent controller of that client data. The Company does not automatically become controller of your client data merely because DJED generated a local PDF.
5.  Lawful bases (high level)
Depending on the activity, lawful bases may include: contract (licence/purchase administration); legitimate interests (securing updates, fraud prevention, defending legal claims); legal obligation; and consent where required. Solicitor validation of the final matrix is required.
6.  Retention (honest limits)
6.1  Local data retention on the Device is under your control (and OS user profiles / disk policies).
6.2  Company-side purchase, licence and support records are retained as needed for the commercial relationship, accounting, fraud prevention and legal claims, then deleted or anonymised when no longer required. Exact day-count schedules will be published once operationally confirmed — this Notice does not invent fixed day counts.
7.  Sharing
We may share personal data with: payment providers (e.g. Square); hosting/CDN providers for the Website and update artefacts; professional advisers; and authorities where legally required. We do not sell personal data.
8.  International transfers
If personal data is transferred outside the UK, we will use appropriate safeguards required by UK data-protection law (for example adequacy regulations or standard contractual clauses), as applicable to the provider.
9.  Your rights
Under UK GDPR you may have rights of access, rectification, erasure, restriction, objection, and data portability, and rights related to automated decision-making (DJED does not make solely automated decisions producing legal effects about individuals as a product feature). To exercise rights relating to company-side data, contact us using the details below.
10.  Complaints — ICO and section 164A
10.1  You may complain to us first: support@djedsoftware.com or by post to the registered office above.
10.2  You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO): https://ico.org.uk/make-a-complaint/ · Telephone 0303 123 1113.
10.3  Section 164A of the Data Protection Act 2018 concerns complaints by data subjects to controllers. It requires controllers to facilitate complaints, acknowledge receipt within 30 days, and take appropriate steps without undue delay to respond and inform the complainant of the outcome. It should not be described as a standalone court-claim route.
10.4  You may use the dedicated electronic complaint page at https://djedsoftware.com/privacy-complaint, email support@djedsoftware.com, or write to the postal address above. None of these routes is the only lawful method. We will acknowledge receipt within 30 days and investigate and respond without undue delay.
11.  Children
DJED is aimed at adult technicians and device owners. It is not directed at children.
12.  Changes
We may update this Notice. Material changes will be indicated by version/date and, where appropriate, in-app or website notice.
